Who we are
AirConFinance is a trading name of Solari Group Limited, company number 17340557, registered office Manderlay, Stormy Down, Bridgend, CF33 4RT. We decide how the personal information described here is used, which makes us the "controller" of it.
You can contact us about your information at info@airconfinance.co.uk.
What this policy covers
We introduce businesses that want air conditioning installed to our finance partner, HH Business Finance. This policy covers two groups of people:
- Installation engineers who register their business with us.
- Customers who apply for business finance through an engineer's link.
Business finance through this site is for UK limited companies, so most of what we hold is information about businesses. It also includes personal information about the people who act for them, such as directors and contacts.
What we collect
If you register as an installation engineer
- Your company's name, Companies House number, trading name, website and business address.
- The contact's full name, role, email address and phone number.
- Your F-Gas company certificate number and certification body, and roughly how many installs you do a month.
- Whether you want to hear from us when personal finance opens.
- Your sign-in email. Engineers sign in with a one-time code that we email each time, so we do not hold a password for you.
If you apply for finance as a customer
- Your company's name, Companies House number, business address and how long it has been trading.
- The applicant's full name, position in the company, email address and phone number.
- The quote amount, the amount you want to finance, your quote reference, the installation postcode and anything you tell us in the notes box.
- For each director of the company: first name, surname, date of birth, and the first line and postcode of their home address. The finance company needs these to consider the application.
- Any documents you upload, such as company bank statements and management accounts.
- The confirmations you ticked and when, and which installer's link you applied through.
If you visit the website
- We do not use advertising or analytics cookies.
- Our hosting provider records technical details such as your IP address in order to deliver the site and keep it secure.
- If you sign in, your browser stores a sign-in token so that you stay signed in. It is removed when you sign out.
We also keep emails you send us.
How we use your information and why we are allowed to
- To review an engineer's registration and run their account. This is needed to take steps before entering into, and then to carry out, our agreement with the engineer.
- To pass a customer's application to HH Business Finance. This is done at the applicant's request so that finance can be considered. We ask the applicant to confirm this on the form.
- To show the installer how far an application has got. The installer whose link was used sees the customer's business name, the date and the stage (received, with the finance company, decision made). We do not show them the decision or any financial details. We do this in our legitimate interest of running the service the installer has referred a customer to.
- To send service emails, such as approval emails and sign-in codes. This is needed to run an engineer's account.
- To tell engineers when personal finance opens, only where they ticked the box asking us to. This relies on consent, which can be withdrawn at any time by emailing us.
- To keep records, deal with complaints and meet our legal obligations.
We do not sell personal information and we do not use customers' details for marketing. We do not make automated decisions about anyone. Lending decisions are made by the lender that HH Business Finance selects. An initial soft search is carried out on the company; if the lender needs a hard search or any checks on the directors, HH Business Finance will confirm this with the applicant before going ahead. You can read HH Business Finance's privacy notice at hhbf.uk (opens a PDF).
Who we share it with
- HH Business Finance, our finance partner. We share applications, including directors' details and any documents provided, with HH Business Finance, which arranges the finance and may pass them to the lender it selects. HH Business Finance is responsible for its own use of that information.
- The installer whose link a customer used, limited to the business name, date and stage described above.
- Companies that provide services to us and act on our instructions: Supabase (our database and sign-in system, with data stored in London), Netlify (website hosting), Resend (sending our emails) and Microsoft (our mailbox).
- Advisers, regulators and law enforcement, where we are required to or need advice.
Information held outside the UK
Our database is stored in London. Some of our service providers (Supabase, Netlify and Resend) are based in the US or the EU and may handle limited information there, for example to send emails or provide technical support. Where that happens they rely on safeguards recognised by UK data protection law, such as the UK–US data bridge or the UK's approved contract terms.
How long we keep it
- Engineer accounts: for as long as the account is open, and then for 6 years after it closes, so we can deal with any questions about fees or introductions.
- Registrations we decline: 12 months after we decline them.
- Customer applications, including directors' details: 6 years after the application was sent, in case of any questions or claims about it.
- Documents uploaded with an application: we delete them from our systems once we have passed them to HH Business Finance, and in any case no later than 30 days after the application was sent.
- Information is deleted automatically when these periods end. HH Business Finance and any lender keep their own records under their own privacy notices.
How we protect it
- The website uses an encrypted connection.
- Applications and registrations can only be seen after signing in. Engineers can only see their own account and the limited application details described above.
- Only authorised people at AirConFinance can see full applications. Staff sign in with a password and a code from an authenticator app.
- Uploaded documents are kept in private storage. They can only be opened by authorised AirConFinance staff.
Your rights
You have the right to ask us for a copy of your information, to have it corrected or deleted, to limit or object to how we use it, and to have it passed to you or another organisation. Where we rely on consent you can withdraw it at any time.
To use any of these rights, email info@airconfinance.co.uk. We will reply within one month.
If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
